REGISTRATION FEES

The MAIN CONGRESS FEE includes all the Scientific Lectures, congress material, proceedings in PDF file sent via email, congress badge sent via email, access to exhibition area, lunch and coffee breaks for every day of participation, as well as Welcome reception on Friday, 12^th September.

The PRE CONGRESS COURSES FEE includes access to all lectures and practical sessions specific to the selected course, course material, proceedings in PDF file sent via email if available, congress badge sent via email, lunch and coffee breaks if scheduled in the programme.

Registration to the Main Congress is mandatory to attend any of the Pre-Congress Courses.

Accompanying persons are not allowed to attend scientific sessions neither to enter the exhibition area.

Pre congress Dry Labs

Last day to register for a laboratory is 15^th July. ESVOT reserves the right to cancel any laboratory that does not meet minimum registrations by 15^th July. If the laboratory is cancelled by this date, registrants will be notified via email no later than 30^th July and all paid registration fees will be refunded. Registrants for laboratories are advised not to make airline and hotel reservations until after 30^th July to make sure the selected laboratory is confirmed. ESVOT will not reimburse for travel expenses in the case of a cancellation due to low registrations.
All laboratory registration fees must be paid in full by 15^th July, to guarantee a seat in the desired laboratory. All unpaid seats will be released after 15^th July and offered to another participant.

Registration invoice and confirmation letter with QR code

Upon completion of payment, all delegates will receive an email in due course with the registration invoice.

A few days before the beginning of the Congress, delegates will receive a reminder email with personal name badge and QR code to be printed out and more instructions on how to access the ESVOT Congress 2025.

Cancellation and refund policy

Registration refunds will be granted if notification of cancellation is sent in writing to the ESVOT Congress Secretariat before 15^th August 2025. After this date, refunds will not be made. Refunds are issued based on the payment method used at the time of purchase.

Delegates are responsible for obtaining their visa on time. In the event, the visa is denied or could not be obtained, there will be no refunds.

In the event that the ESVOT Congress cannot be held or is postponed due to events beyond the control of the Congress Organisers (Force Majeure*) or due to events which are not attributable to wrongful intent or gross negligence of the Congress Organisers, the Congress Organisers cannot be held liable by attendees for any damages, costs, or losses incurred, such as transportation costs, accommodation costs, financial losses, or any other indirect losses or consequential damages.

*An event of force majeure shall include, without limitation, Acts of God, war, riot, fire, explosion, accident, flood, earthquake, sabotage, epidemics/pandemics, strike of employees other than those of EAA, inability to obtain power, fuel, material or labour or acts of any government.

Travel insurance

Adequate travel protection is highly recommended for all congress participants as it protects travellers from risks such as cancellation, loss of passport or checked baggage and may offer coverage for unexpected medical expenses. Having these risks covered ensures an additional layer of protection against financial loss.
